Booking Terms & Conditions

These Booking Terms and Conditions apply to all bookings with 990 Greenwood LLC (“Company”) for activities conducted at or associated with Oakley Ranch.

1. Payment & Deposit Policy

  • A 50% non-refundable deposit is required to reserve all booking dates and times.

  • The remaining balance is due in full on the day of the scheduled booking prior to the start of the session.

  • Submission of payment constitutes full legal acknowledgment and binding acceptance of these Booking Terms, Safety Policies, and Liability Waiver requirements.

2. Cancellations & Rescheduling Policy

  • No Refunds: All sales and bookings are final. Payments and deposits are non-refundable under all circumstances if a client chooses to cancel or withdraw from a scheduled booking.

  • Cancellation Credit: If a client chooses to cancel a booking, payments already made may be applied as a credit toward a future Oakley Ranch booking. The credit must be used within six (6) months of the original scheduled booking date and is subject to availability. If the new booking exceeds the available credit, the client is responsible for the remaining balance. Any unused portion of the credit has no cash value and will not be refunded.

  • Rescheduling Permitted: One (1) reschedule of the existing booking is permitted with a minimum of 48 hours’ written notice, subject to ranch availability.

  • Late Notice & No-Shows: Cancellations or reschedule requests made with less than 48 hours’ written notice, or failure to appear for a scheduled booking, will result in forfeiture of all payments made and will not be eligible for a future booking credit.

3. Ranch Discretion, Weather & Cancellations

  • Ranch Discretion: Oakley Ranch reserves the right to postpone, suspend, or cancel any booking at its sole discretion due to unsafe weather conditions, hazardous property conditions, unsafe participant behavior, inappropriate equipment or props, or if a horse is deemed unfit or unable to safely participate.

  • Ranch-Initiated Cancellations: If Oakley Ranch cancels an entire booking prior to the start of the session, all payments made for that session will be refunded in full or offered for rescheduling. Any future booking after a refund is issued will be treated as a new reservation and will be subject to current pricing and availability.

Weather: Weather conditions alone do not automatically qualify a booking for cancellation, refund, or rescheduling. Clients with weather concerns should contact Oakley Ranch at least 48 hours prior to their booking whenever possible.

  • If significant weather develops unexpectedly within 48 hours of the scheduled booking and is reasonably expected to interfere with the shoot, Oakley Ranch may, at its discretion, offer a reschedule or booking credit, subject to availability.

  • If Oakley Ranch determines that conditions are unsafe for the entire booking and cancels the session prior to its start, all payments made for that session will be refunded in full.

  • Client preference regarding weather does not override the standard cancellation and rescheduling policy.

Bookings Involving Horses: The safety and welfare of our horses always comes first. Oakley Ranch has sole discretion in determining whether weather, footing, or other conditions are safe for horse participation.

  • If Oakley Ranch determines that horses cannot safely participate but the client chooses to proceed with the ranch/location portion of the booking, the ranch booking will remain in effect and all applicable ranch fees will remain due. Deposits will be allocated proportionally among the services originally booked. Any portion of the deposit attributable to horse services may be refunded or applied as a credit toward a future booking.

4. Rates, Overtime & Operating Hours

Operating Hours: Bookings scheduled outside standard operating hours of 8:00 AM to 6:00 PM may be subject to extended-hours rates.

Overtime: Any time beyond the scheduled booking window will be billed at the applicable overtime rate:

  • Ranch Rentals: $150 per hour

  • Production Horses: $100 per horse, per hour

When a booking includes both the ranch and production horses, applicable overtime charges are cumulative. For example, overtime involving the ranch and one horse will be billed at $250 per hour.

Overtime is subject to availability and is not guaranteed.

5. Horse Welfare & Production Rules

  • On-Site Time: Production horse booking rates are based on the full reserved production window during which horses are required to remain on-site and available, not solely active riding or camera time.

  • Working Limits: For the health, safety, and welfare of the animals, horses have a maximum working capacity of four (4) hours. Oakley Ranch reserves the right to modify, suspend, or end horse participation at any time if a horse is deemed stressed, unfit, or unsafe to continue.

  • Horse Handling: Only Oakley Ranch staff or individuals expressly authorized by Oakley Ranch may handle, lead, ride, reposition, or otherwise interact with horses unless prior written approval has been granted.

6. Property Use & Capacity Limits

  • Property Damage: Clients are financially responsible for any damage to ranch property, equipment, tack, facilities, or animals caused by the client, photographer, crew, models, vendors, guests, or any party associated with the booking.

  • Termination of Booking: Oakley Ranch reserves the right to immediately end any booking without refund for unsafe, illegal, or destructive behavior.

7. Liability & Insurance Requirements

  • Liability Waivers: All participants—including but not limited to clients, photographers, models, assistants, crew members, and guests—must sign the Company’s Liability Waiver and Assumption of Risk Agreement prior to entering the property or participating in any session. Any individual who refuses to sign required documentation will not be permitted to participate, and no refund will be issued.

  • Proof of Insurance: Productions may be required to provide proof of general liability insurance naming 990 Greenwood LLC as additionally insured prior to arrival.

  • Inherent Risk: Client acknowledges the inherent risks associated with ranch and equine activities and agrees that all participants must complete required liability documentation prior to participation.

8. Policy Updates

990 Greenwood LLC reserves the right to update or modify these Terms & Conditions at any time without prior notice. 

9. Binding Agreement

Submission of payment confirms full acknowledgment, understanding, and legal acceptance of these Terms & Conditions.
